Five reports every business owner should review monthly

You do not need to read every report in the system. These five answer the questions that actually change decisions.

A monthly review is not about reading everything. It is about asking a small number of questions and having the data ready to answer them. These five reports do most of the work.

1. Profit and loss

The question it answers: did we make money this month? Compare against the previous month and the same month last year. If revenue is growing but profit is flat, your cost of sales or overheads are absorbing the growth.

2. Customer ageing

The question it answers: who owes us money, and how late are they? A healthy sales month with a worsening ageing report is a cash problem forming.

  • Follow up anything in the 60-day band before it becomes a bad debt.
  • Ask why a customer has stopped paying, not just whether they will.
  • Watch for one customer growing to dominate your receivables.

3. Stock valuation and low stock

The question it answers: where is our money sitting, and what will we run out of? Cash tied up in slow-moving stock is the most common hidden cost in a trading business.

4. Cash flow statement

The question it answers: did cash go up or down, and why? Profit and cash are not the same thing. A profitable month can still end with less money in the bank if customers paid late or you bought stock heavily.

5. Expense review by category

The question it answers: what changed in our costs? Look for categories that moved more than ten percent, and for repeated small expenses that add up quietly across the year.

Make the review a habit

Put the same slot in the calendar each month, review the same five reports, and write down one action per report. Fifteen minutes with a fixed agenda beats an afternoon of unstructured looking.

Reports do not improve a business on their own. A short, regular review with one action each is what changes the numbers.
